Privacy Policy

How we look after the information you share with us.

1. Introduction

Rostron Accounting Ltd (“we”, “our” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use and protect your personal data when you visit our website, rostronaccounting.co.uk, and when you use our services.

Rostron Accounting Ltd is registered in England & Wales (company number 16254519). We are responsible for the personal data described in this policy.

2. Data we collect

We may collect the following personal data:

  • Your name, email address and phone number, when you contact us.
  • Your business name and financial details, if you engage our services.
  • Technical information such as your IP address and browser type, which is processed automatically when you visit our website (see section 8).

3. Our contact form

When you send a message using the form on our contact page, we collect the details you enter: your name, business name, email address, phone number, the services you’re interested in and your message.

The form is delivered by Web3Forms, a third-party service. Web3Forms receives the details you submit and forwards them to us by email. You can read how Web3Forms handles data in its privacy policy.

We use these details only to reply to your enquiry and, if you go on to work with us, to provide our services.

4. How we use your data

We process personal data for the following purposes:

  • To provide bookkeeping, accounting, payroll and financial services.
  • To respond to enquiries and communicate with clients.
  • To comply with legal and regulatory obligations, such as anti-money laundering (AML) checks.
  • To improve our website and services.

5. Legal basis for processing

We only process your personal data where UK GDPR allows us to, including:

  • Consent — for example, when you ask us to contact you or accept analytics cookies.
  • Contractual necessity — to deliver the services you’ve engaged us for.
  • Legal obligation — for example, tax reporting and AML compliance.
  • Legitimate interest — for example, improving our service to you.

6. Data sharing

We do not sell personal data. We may share data with:

  • HMRC, Companies House and other regulatory authorities, where needed to provide our services or where legally required.
  • Payment processors, if applicable.
  • Trusted service providers who help us run our business, such as accounting software, secure cloud storage, email, our website host, our contact form provider and, if you accept analytics cookies, Google Analytics.

7. Data retention

We keep data for as long as necessary for legal or business purposes. For tax and accounting records, we may keep data for up to six years, as required by UK law.

8. Cookies and website data

We use Google Analytics to understand how people find and use our website — for example, which pages are visited and how long people stay — so we can improve it. Google Analytics uses cookies (named _ga and _ga_…) that last up to two years.

These cookies are only set if you click “Accept” on the cookie banner. If you decline, Google Analytics isn’t loaded at all. Your choice is remembered in your browser, and you can change it at any time using the “Cookie settings” link at the bottom of every page. You can read how Google uses this data in Google’s explanation.

We don’t use any advertising cookies.

Like all websites, ours can’t work without your browser sharing some technical information, such as your IP address. Our website is hosted by Cloudflare, which processes this information to deliver and protect the site. Our fonts are loaded from Google Fonts, which means your browser contacts Google to download them.

9. Your rights

Under UK GDPR, you have rights including:

  • Access to your data.
  • Correction of inaccurate data.
  • Deletion of your personal data (where applicable).
  • Objection to processing (in certain cases).

To exercise these rights, email rebecca@rostronaccounting.co.uk.

If you’re unhappy with how we’ve handled your data, you can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

10. Security

We take data security seriously and use encryption, access controls and secure storage to protect your personal data.

11. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
